Position Summary:
The Receptionist is the first point of contact for residents, families, staff, and visitors. This role is responsible for creating a warm, welcoming environment while managing front desk operations, handling administrative tasks, and supporting the overall day-to-day functions of the residence.

 

Key Responsibilities:

  • Greet and welcome residents, families, and visitors in a friendly, professional manner
  • Answer and direct incoming phone calls promptly and courteously
  • Manage the main reception area, ensuring it is tidy, organized, and presentable at all times
  • Monitor and manage visitor sign-in procedures, including security protocols
  • Receive, sort, and distribute mail and packages
  • Maintain resident and staff directories and contact information
  • Provide general information about the residence, services, and events
  • Coordinate and schedule appointments, meetings, and transportation requests as required
  • Support administrative tasks such as filing, data entry, and report tracking
  • Communicate effectively with all departments to ensure smooth operations
  • Assist with emergency procedures and notifications as needed
  • Handle inquiries, concerns, or complaints and escalate when appropriate

Additional Qualifications

Education

  • High School Diploma is required

Skills

  • Previous Reception, Customer Service or Administrative Experience preferred in a Healthcare or Retirement setting
  • Strong Communication and Interpersonal Skills
  • Excellent Organizational and Multitasking abilities
  • • Proficiency in Microsoft Office (Word, Excel, Outlook, Publisher)
  • • Ability to remain calm, professional, and compassionate in a fast-paced environment
  • • Demonstrated ability to maintain confidentiality and discretion
  • • Reliable and punctual
  • • Ability to work independently and as part of a team
  • • Problem-solving and conflict resolution skills
  • • May require evening, weekend, and holiday shifts
