Position Summary:
The Receptionist is the first point of contact for residents, families, staff, and visitors. This role is responsible for creating a warm, welcoming environment while managing front desk operations, handling administrative tasks, and supporting the overall day-to-day functions of the residence.
Key Responsibilities:
- Greet and welcome residents, families, and visitors in a friendly, professional manner
- Answer and direct incoming phone calls promptly and courteously
- Manage the main reception area, ensuring it is tidy, organized, and presentable at all times
- Monitor and manage visitor sign-in procedures, including security protocols
- Receive, sort, and distribute mail and packages
- Maintain resident and staff directories and contact information
- Provide general information about the residence, services, and events
- Coordinate and schedule appointments, meetings, and transportation requests as required
- Support administrative tasks such as filing, data entry, and report tracking
- Communicate effectively with all departments to ensure smooth operations
- Assist with emergency procedures and notifications as needed
- Handle inquiries, concerns, or complaints and escalate when appropriate
